PATools Auto Numbering
PATools Auto Numbering is a workbook for Microsoft® Excel®
software that contains all the
mechanics required for integrating with your workbooks and templates to number consecutive documents automatically within a
controlled environment. You can also arrange to have copies automatically
printed and saved using the number as part of the filename, and summary data can
also be logged in an index spreadsheet.
It will operate on a network or stand-alone basis, and
for single or multiple users.
Users of previous versions should note that
this contains everything that ALL previous versions contained and more.
R4.00 and above replaces both the earlier PATools Auto Numbering and the PATools
Auto Numbering PLUS Logging.
The workbook contains one sheet with 3 buttons on it, plus hidden programming
that provides the mechanics. It works by creating a data file which stores (securely) the most recent
number allocated. You specify where this file is to be stored. From this file
your master document can then import the next consecutive number to use.
It is
initially set up as an Invoice for
immediate use with only minor customisation, or it can be completely customised
to run as a Purchase Order or any other document you wish. Copy in your own
worksheets and with our mechanics you can make it work for you the way you
want.
There are many settings you can change,
such as:
- The cell to receive the automatic numbering and any text to be entered
in front of the imported number.
- Automatically import a new number on opening the document - Y/N
- Format the imported number to include leading zeros
- Set an increment for the numbering
- A message to confirm the imported number - Y/N
- The location and name of the Master data - this .dat file stores the
last number used
(since you specify this name you can use multiple versions of this file eg
one for invoices, one for PO's, etc
so long as you have purchased enough licenses.)
- Automatically put the current date into your document upon opening -
simply name the cell as GetDate in the Name Manager
- Whether you wish to use the automatic save (and close) facility (Y/N) and
the location to store these files
(clicking the button saves the file using the name you have given for the
master data and the number imported)
- Print a number of copies when saving with the automatic save facility
- Whether you wish to use the automatic logging facility - each time you
autosave a document certain data can be logged in a central Excel workbook
elsewhere to act as an index. You specify which data is to be stored on the
LogData sheet supplied by editing rows 1 and 2
- and more besides ...

documents and try it out - on an evaluation basis you get unlimited use, except
that it will not import numbers above 30 or log more than 30 documents. If you then choose to purchase a license you can
license the document you have already created and start using it immediately
without any further work needed.
Important Note: You will not be able to use any
other macros in a workbook using PATools Auto Numbering. If you need to combine
your macros we can prepare a workbook for you - please contact

Download - for Microsoft® Excel® 97 and all later versions (for PC, not MAC)
1. Within Excel*, on your
keyboard press and release Alt, then
T, then M
and then S. Users of versions up to
Excel 2003 should then select ‘Medium‘ and users of Excel 2007 or
later should select ‘Disable all macros with notification‘.
Here is the window you should now be seeing.
* Excel 97 users can ignore this step.
For Excel 2003 and earlier versions these keystrokes are the
same as clicking on Tools, then Macro and then Security.
For Excel 2007 or later it is the same as clicking on the Office
Start button, then Excel Options, then Trust Center on the left,
then the Trust Center Settings button, and then Macro Settings
on the left.
2. Download this file to a location of your choice.
3. Open the file you have just saved.
* Choose ‘Enable Macros‘ if prompted at any
stage. If you do not wish to see the enable macros prompt then
you will need to make this folder a trusted location within
Excel options.

Licenses are issued per end-user per workbook* and have no time
restriction or expiry
* You must purchase a different license / set of licenses for each
workbook you intend to use as a licensed master document eg to use this for an Invoice and a Purchase Order, you would need 2 licenses. For each of these workbooks you must purchase a license for each end-user who will be accessing the workbook, so
